The Front Desk Agents primary function is to ensure the courteous check in and checkout of the hotel guests in an energetic, outgoing, and welcoming manner. As the first point of contact you will provide knowledge and insight about the various activities and programs at The Briars and in local area. The Front Desk Agent is a very important part of our team goal to ensure guests are given an exceptional experience; they are a key contact that guests rely on during their stay.

Duties & Responsibilities:

1. Night Auditing & Generating Reports

  • Opening/closing the Front Desk area
  • Preparing reports as required on shift.

2. Reception & Customer Service

  • Check-ins/outs
  • Screening/answering/forwarding telephone and in-person inquiries
  • Assisting guests with recreation equipment, towels and program sign up
  • Giving information and directions about local businesses, attractions, and services
  • Handling guest complaints

3. Administrative Duties

  • Processing lost and found inquiries
  • Reporting damaged or malfunctioning equipment
  • Facilitating communication between guests and various departments
  • Preparing welcome documents for group event arrivals

4. Reservations

  • Making/modifying/cancelling reservations for customers in-person/over the phone/via email
  • Answering all reservation-related inquiries
  • Completing event ticketing orders for customers in-person/over the phone
  • Making dining room reservations

5. Maintains Safety and Security

  • Maintaining casual surveillance of lobby and Front Desk areas
  • Following procedures set for minor accidents, medical emergencies and fire alarms
  • Understanding all safety guidelines for the hotel property
  • Maintaining discretion and confidentiality when issuing or discussing guest room numbers

Education Qualifications:

  • Post-Secondary diploma or degree required
  • A degree/diploma/certificate in Hospitality Management, Administration, Computer Systems in a plus.

Required Knowledge, Skills & Experience:

  • Proven experience in a fast-paced reception position
  • Working knowledge of any advanced booking systems
  • Ability to complete a high level of administrative tasks while maintaining a high degree of accuracy
  • Exceptional attention to detail
  • Excellent oral and written and communication skills
  • Can work independently and maintain self-organization
  • Willingness to seek help or guidance when unsure of a task
  • Strong sense of responsibility, reliability and honesty

Working Hours & Conditions

  • 8 hours working shift each
  • Hours of work will include flexible shifts (day and evening), weekend and holidays
  • Working at computer for long periods of time
  • Adhere to formal dress and conduct code at all times

Education:

  • Bachelor's Degree (preferred)

Experience:

  • Reception/Front Desk: 3 years (required)
  • Hospitality: 2 years (preferred)

Job Types: Full-time, Part-time

Salary: $16.55 per hour

Expected hours: 20 – 40 per week
